Opening the activity log for a document
You can access the activity log from the document review screen or the document edit screen:
-
Document review screen: Click on the More dropdown button and select View activity log.
-
Document edit screen: Click on the Options dropdown button and select View activity log.
The activity log will open in a new browser tab.
What is included in the activity log?
The activity log will be displayed as a table, with the first entry being the recent, and the last entry being the oldest. Each row represents a different "event" that occurred. The most common events you will see recorded are:
- Document saves and status changes
- Comments that were submitted on the document by authors in the KB Admin Tools
- Notifications that were sent for the document (e.g. expiration notifications, review reminders, etc.)
- Expiration date extensions
- Batch Updates or Batch Access Changes that were performed on the document
- Ownership transfers
Note
The names of document status changed on September 18th, 2025. Events recorded leading up to this date will show the original status names, and events recorded after it will use the new status names. Status names changed as follows:
- Active > Published
- In Progress > Draft
- In Review > Pending Review
- Inactive > Archived
The table includes the following columns:
- Count: The line item number for the event
- Time: The date and time the event occurred
- User: The user whose actions triggered the event
- Change since last save: The calculated percentage of document content that was changed since the last save to the document draft. This is used to determine whether a change was significant.
- Change since last publish: The calculated percentage of document content that was changed since the last time the document was published. This will only be displayed for "publish" events and is used to determine whether a change was significant.
- Version saved: This column will display a "Yes" if a saved change trigged the creation of a new version in the version history.
- Activity: The description of the event that occurred.
Group admins who have access to the Stats tab can run reports on document events as recorded in their document's activity logs. For more information, please see KB User's Guide - Stats Tab - Doc Events.
