Etrieve Content

Etrieve Content is a browser-based document repository that is replacing Perceptive Content.

Login to Etrieve Content and sign in with your Western credentials

View a document

  1. On the home tab, select the search box and type in a users information (Name, Student ID, Employee ID).

  2. Document Type and Area are optional fields
  3. Select Search
  4. Documents will appear in the area below based on your Document Type permissions

  5. Selecting a document from the Document column will take you to the Tree in Etrieve Content where this document is stored

The Advanced tab will allow you to narrow your search to include more than one key field

  1. Select Advanced in the upper menu

  2. You can select the drop down arrows indicated in red below, or type in your desired key field

  3. Select Save Search or Search to finalize your search

  4. After selecting Save Search, name your search and select Save to come back to the search at a later time or Save and Run to view the results

  5. To delete a saved search, select Edit in the upper middle corner of your screen

  6. Then select Delete Search in the lower left corner of your screen

Add a document

Etrieve has the following methods available for uploading a document

  1. From Etrieve Content
    • Adding a single document
    • Scanning documents
  2. Web Capture
    • Document Upload: Upload one or multiple documents that will be uploaded and filed at one time
    • Document Batching: Upload a larger number of documents that can be worked on for up to 2 weeks. Batches will automatically close after 2 weeks
  3. Virtual Printer
    • File - Print from email, word documents, pdf documents, and web-pages
    • Drag and drop files from an email or folder

From Etrieve Content

  1. Login to Etrieve Content and sign in with your Western credentials
  2. Select Upload Document in the upper right corner of your screen

  3. You can drag and drop a file from File Explorer or select Browse Files to navigate to the file you would like to upload. Then select Upload or Upload and Open to also view the document in the Tree

  4. If the document is uploaded successfully you will see this notification in the lower right corner of your screen.

Web Capture

Access Web Capture

  1. Login to Etrieve Content and sign in with your Western credentials
  2. Select the drop down menu in the upper right corner of your screen and select Web Capture

  3. Web Capture has two upload options. The Document Upload Page is for one or multiple documents that will be uploaded and filed at one time. Document Batching is for a larger number of documents that can be worked on for up to 2 weeks. Batches will automatically close after 2 weeks.

Document Upload

  1. Select Document Upload

  2. Select documents on your computer or drag and drop files in the box

  3. Enter the key fields for each document in the menu on the right.

  5. When the document is filed to Etrieve, you will see a green check-mark indicating the file was sent successfully

  6. Once the last document is filed, the window will close and return you to the upload screen.

Document Batching

  1. Select Document Batching

  2. Select Create Batch

  3. Under Batch Settings, choose the appropriate key fields for the documents you will be uploading.

  4. Select documents on your computer or drag and drop files in the box

  5. Upload Status will show green check-marks when all documents have been uploaded to the batch

  6. Select Create in the bottom right corner

  7. Select the batch ID to check out the batch. One user can work in a batch at a time. If a batch is checked out and should not be, contact your department administrator to release the batch.

  8. Enter the key fields for each document in the menu on the right.

  9. Select Send.

  10. As a batch processor you can select these three dots to Merge Documents in the batch.

  11. If documents need to be added to the batch, the area or document type needs to be changed, or the batch needs to be deleted, please contact your batch manager.

  12. If the documents are scanned or uploaded as one large file consisting of several pages, you can select the split tool in the upper menu.

  13. Then select each page that needs to be split into a new document

Virtual Printer

If you would like to Virtual Printer installed on your device please reach out to pcservice@westerntc.edu

  1. In your system tray, select the ^ icon as indicated in the image below

  2. Right click on the leaf icon indicated below

  3. Select Open Softdocs Virtual Printer

Choose 1 of 2 methods of uploading documents via the Virtual Printer

Drag and Drop:

  1. Drag and drop your file(s) or select Browse Files.

Fill in your key fields in the right hand menu and select Send.

Key Fields

File-Print:

  1. Print from an email, word documents, pdf documents, and web-pages. Select Softdocs Printer from the list of printers when prompted.

  2. Follow the same key field prompts as the above method to file the document.

FAQs

The Virtual Printer does not appear in the tray

  1. Open the start menu on your taskbar

  2. Search for Softdocs Printer and select the app

  3. Return to the tray and right click the Virtual Printer

Etrieve is asking for a URL Verification

  1. When prompted, copy and paste this link into the window provided: https://westerntccontent.etrieve.cloud/#
